Refund Policy

This Refund Policy applies to all purchases, registrations, and fees paid to Sport Air Racing Council (“SARC”), including SkyFiesta of Las Cruces (“SkyFiesta,” “the Event,” “we,” “us,” or “our”).

By completing a purchase or registration, you agree to this Refund Policy.

1. General Refund Principles

   • All refund requests must be submitted in writing.

   • Refunds, when approved, will be issued to the original method of payment.

   • Processing fees charged by third parties (including credit card processing fees) are non-refundable unless required by law.

   • Approved refunds will be processed within 10-14 business days after approval.  Processing times may vary by financial institution.  It may take up to 30 days for the refunded amount to appear on your statement.

   • SARC reserves the right to require documentation to support refund requests where applicable.
      

2. Event Tickets (Spectators)

   • Ticket purchases are non-refundable, except as required by law or expressly stated below.  

   • Tickets may be valid for rescheduled dates if the event is postponed.

   • Changes to performers, schedules, or programming do not entitle ticket holders to refunds.
      

3. Racer Registration Fees

   1. Standard Policy

      • If written notice of withdrawal is received on or before one (1) month before the event start date racers will receive a full refund minus a non-refundable administrative fee of $150.

      • Cancellations received one (1) month before the event start date will result in forfeiture of the entire registration fee.

   2. Exceptions

      • Exceptions to the post-deadline cancellation policy may be considered only under the following circumstances:

        • Weather conditions that prevent safe travel to the event location.

        • Unplanned maintenance or mechanical issues that occur during normal operation or while en-route to the event, and which render the aircraft temporarily unairworthy.

      • Mechanical or maintenance issues resulting from elective modifications, performance enhancements, experimental changes, or ongoing build or upgrade work performed after one (1) month before the event start date are not eligible for a refund.

      • All exception requests must include reasonable supporting documentation and are subject to SARC approval.
         

4. Vendor & Exhibitor Fees

   • Vendor and exhibitor fees are non-refundable, as space, infrastructure, and staffing are reserved in advance.

   • If the event is canceled and not rescheduled, SARC may, at its discretion, offer partial refunds or credits toward a future event.
      

5. Sponsorships

   • Sponsorship payments are non-refundable.

   • In the event of cancellation, SARC may offer substitute benefits, recognition, or credits toward a future event, but cash refunds are not guaranteed.
      

6. Camping, Fly-In, and Ancillary Fees

   • Camping, fly-in, and similar ancillary fees are refundable only if canceled by seven (7) days before the event start date less any stated administrative or processing fees.

   • After that date, such fees are non-refundable.
      

7. Event Changes, Delays, or Cancellations

   1. SkyFiesta is an aviation-related outdoor event subject to factors beyond our control, including:

      • Weather conditions

      • Safety considerations

      • FAA or airport restrictions

      • Operational or logistical requirements

   2. Changes, delays, or partial cancellations do not automatically entitle purchasers to refunds unless explicitly stated in this policy.
       

8. Force Majeure

   1. SARC is not responsible for refunds due to events beyond its reasonable control, including but not limited to acts of God, government orders, emergencies, or airport closures, except as required by law.
       

9. Chargebacks & Disputes

   1. Customers agree to contact SARC prior to initiating any chargeback or payment dispute.

   2. Initiating a chargeback without first attempting resolution may result in:

      • Denial of future participation or registration

      • Revocation of event credentials or privileges
         

10. Policy Modifications

    1. This Refund Policy may be updated from time to time. The version posted at the time of purchase governs that transaction.
